What does it mean, Event Assistant?



You are the key, between the client and our team.
Handling incoming inquiries from the first phone ring / e-mail throughout the event itself until the final invoicing,
with all organizational and administrative tasks.

Don’t worry, this is not a one-man show, you don’t have to do it all alone.
You will work together with our Event Manager, Julia,
who will teach, train and lead you all the way through.
Julia has worked for very luxurious International Catering companies
in Vienna and Munich and will be able
to share outstanding knowledge about the world of events.

Your Daily Routine would look like:


• First thing first, incoming e-mails needs to be checked and prioritized
• Then we do a short update for the daily to-do list
• The priority is always on Business and client; therefore, we handle the new requests on the first place and prepare the proposal right after the client call.
• To keep track we follow up regularly with all pending event inquiries.
• During the office hours our aim is to reply all incoming requests on the computer and phone, let it be connecting to new or running events
• 80% of an event life circle is administration, therefore our daily precise and concentrated work is essential
• parallel to events we have general administrational tasks to fulfil, like invoice registration and preparation for the accounting

• If there is a confirmed event
... we need to prepare all relevant documentation (Event order, Table plan, Timeline… ) and share with our kitchen team and operations
... we shall place the orders/requests in this regard (Printout, Staff) in advance
... we have to make sure that all goes according to the plan
... during the event we control and support the operations
... after the event has been delivered, we handle the administration of all numbers, and prepare financials for invoicing

Your direct work contact will be with our Event Manager, Julia.
